Save Time With AI

Five everyday business tasks you can make easier with AI

By Julie Begbie

Forget the headlines about robots. Here are five ordinary jobs from a real small business week that AI can help with today, using free tools and plain English.

1. First drafts of, well, everything

The blank page is the most expensive thing in your business. Emails, posts, proposals, product descriptions: ask AI for a rough first draft and suddenly you're editing instead of creating from nothing. Editing is faster and far less draining.

Give it context first: who you are, who it's for, how you sound. The draft will be ten times more useful.

2. Repurposing one idea into many

You said something brilliant on a call last week. Once. To one person. Ask AI to turn that one idea into a social post, an email and a short blog outline. One good thought, working three jobs.

3. Summarising the rambling stuff

Meeting notes, long email threads, that document you've been avoiding. Paste them in and ask for the key points and the actions. What used to take a reread and a headache takes two minutes.

4. Untangling your to-do list

Brain-dump everything swirling in your head, then ask: "Group these by theme, tell me which three would make the biggest difference this week, and suggest an order." You keep the final say. AI just stops the spinning.

5. Answering the questions you answer every week

If customers ask the same five questions, ask AI to help you write warm, clear answers once. Use them on your website, in your emails, in a little FAQ. Your future self will thank you every single week.

The ground rules

  • Never publish the first draft untouched. Your voice is the magic.
  • Don't paste in private customer details or anything confidential.
  • If the answer sounds like nonsense, it probably is. Check it.

Start with one of these, ten minutes at a time, until it's genuinely faster. Then add another. That's the whole system.
